We are doing things slightly different this year so please help me with these adjustments. 


There are several phases of our program – I just need to know a few details.


Phase 1 - Delivering TFT Boxes to Businesses

If you want to do this, let me know what areas you would like to deliver boxes to. (i.e. J-town, Dixie Hwy, Oldham County, etc.)

Be as specific as you want or as general as you want. 

*Those participating in this effort will attend some form of training prior to setting out boxes at the Marine House at a date and time TBD.


Phase 2 – Packing/Sorting Toys at Temp Location

As you know, we had to move away from our previous location.  When we departed the Fairgrounds last year, we palletized many of our toys but still had over a hundred+ white collection boxes of toys.  The new temporary location in the Okolona area will allow us to go over and sort toys by age groups into large brown boxes and place them on pallets to reduce the number of white boxes.

The reason for this is that when we load out and move to the fairgrounds, we could have use of a forklift and have everything loaded into a large 53’ tractor trailer and shipped over so that we do not have to do the heavy lift and manual labor like last year.

*I anticipate this happening in October during the week with the understanding that the conditions will be that of the outdoor environment.  Planning will be done in accordance with good weather conditions.


Phase 3 – Loadout and Move In

During this phase, which will be near the Thanksgiving week, just like last year we anticipate moving in and having those personnel on the ground in the secure space to help identify where pallets will be placed.  It is during this phase, we will set up our site.


Phase 4 – Conduct Day to Day Operations at the Fairgrounds

This phase begins the Monday after Thanksgiving and runs 6 days a week with limited work on Saturdays until 3 days before Christmas.  Involves sorting and packing out toys for distribution.


Phase 5 – Individual Toys for Tots Events

As of right now, the major events coming up will be the:

-  Bikes or Bust (4 days) in October

-  Annual Motorcycle Ride (1st Sunday after Thanksgiving)

-  Private Gala Event (TBD)  This is a Red Coat event and need more participation than we had last year.  It is not hard work other than monitoring a door.


Phase 6 – Collecting the Boxes from Businesses

When you volunteer, I will pair up personnel to cover areas.  Not necessarily by zip code but actual areas.  This concept is one of the changes to help us enhance this part of the job.  If you are getting to the point where you are unable to pick up boxes that can weigh upwards of 20-30 pounds, then please do not volunteer for this.

*This phase is very tedious work and our footprint is very large with respect to those companies that participate.  We have scrubbed this list very well and rely on many of you to tell us YES or NO as to whether or not a business is capable of producing toys.  Generally, this phase takes place over a 8-10 day period and must be accomplished.


Phase 7 – Delivery of Toys

Just like Collecting Boxes in Phase 6, we will be turning right around and delivering toys to several groups and agencies.  Phase 6 and 7 often blend together.  I need to know if you are willing to do both. 

-  Delivery of toys to Jefferson and its agencies.

-  Delivery of toys to Oldham, Shelby, Spencer, Henry, and Owen counties.

-  Delivery of toys to Breathitt County

-  Delivery of toys to Clay County

-  Delivery of toys to Letcher County


First, if your wife/spouse or other family members participate as volunteers, I need their email address as well and/or they can reply back to me.
